ISO 9001 and 14001: What They Actually Mean for Your Print Provider

You've probably seen ISO logos on plenty of company websites and thought: right, but what does that actually mean? We hold ISO 9001 and ISO 14001, and we think they matter. But not for the reasons you might expect.

ISO 9001: Quality Management

In plain English, ISO 9001 means a company has a documented quality management system that's independently checked every year. It covers how you handle customer orders, deliver services, deal with complaints, and continuously improve. It's not a one-off assessment. An external auditor comes in regularly and checks that you're actually following the processes you've written down.

For you as a customer, it means: when we say we'll respond within four hours, there's a documented process behind that. When we install a machine, there's a checklist. When something goes wrong, there's a procedure for fixing it and making sure it doesn't happen again. It's not just "Dave'll sort it out." It's structured.

ISO 14001: Environmental Management

This one's about how a company manages its environmental impact. Again, independently audited. It covers things like waste management, energy use, carbon footprint, supply chain choices. For us, it means we track our environmental impact, set targets to reduce it, and get checked on that annually.

In practice, it means we don't just sell Epson's eco-friendly inkjet printers and call it a day. We also manage our own waste properly, track our vehicle emissions for engineer visits, and choose suppliers who meet environmental standards. The certificate means an external body has verified all of this.

Why It Matters When Choosing a Print Company

You wouldn't necessarily think ISO certifications matter when you're just leasing a photocopier. But they signal a few things:

Consistency. A company with ISO 9001 has documented processes. They're less likely to drop the ball on your service because everything's tracked and reviewed.

Accountability. If something goes wrong, there's a formal complaints and improvement process. It's not just hoping someone remembers to follow up.

Environmental responsibility. If your business has sustainability targets, working with an ISO 14001 supplier helps. Larger organisations and public sector bodies often require ISO-certified suppliers as part of their procurement process. Academy trusts, construction groups, and multi-site companies tend to ask for this as standard.

Seriousness. Getting and maintaining ISO certification costs money and takes effort. It's not something a company does for a laugh. It signals that they're investing in doing things properly.

What About ISO 27001?

We're currently working towards ISO 27001, which covers information security management. In the print world, this matters because modern copiers store documents on internal hard drives, connect to your network, and handle sensitive data. ISO 27001 would mean our handling of your data and documents meets internationally recognised security standards. We're not there yet, but we're actively working on it. In the meantime, we align with 27001 best practices.

Worth Asking Your Current Provider

ISO certifications aren't everything. A terrible company could technically get certified if they documented their terrible processes. But combined with good service and honest pricing, they're a solid indicator that a company takes quality and responsibility seriously.
