Bowden Digitec Ltd ("we", "us") is a company registered in England and Wales. We take your privacy seriously, but we also think you shouldn't need a law degree to understand how we use your data. So here it is, straight.
Who We Are
We're a family-run managed print and photocopier leasing company based at 2 Rowes Yard, Manston Business Park, Ramsgate, Kent CT12 5FA. We have engineers covering London, Kent and the South East. You can reach us at enquiries@bowdendigitec.co.uk or on 0800 009 6770.
What We Collect
When you get in touch with us, whether that's through the website, by phone, or by email, we might collect:
- Your name and job title
- Your company name
- Email address and phone number
- What you're enquiring about (managed print, leasing, service, etc.)
- Any other details you choose to give us in your message
We don't go fishing for data. If you haven't told us something, we haven't got it.
How We Use It
Pretty simple:
- To reply to your enquiry and give you a quote
- To arrange site visits, print audits or engineer appointments
- To manage your lease or service agreement if you become a customer
- To send you useful information about your machines (firmware updates, service reminders, that sort of thing)
We won't sell your data to anyone. Ever. We won't pass it to third parties for marketing. We won't sign you up to a newsletter without asking you first.
Legal Basis
For GDPR purposes, we process your data under "legitimate interests" (we need it to run the business and respond to your enquiry) and "contractual necessity" (if you've signed a lease or service agreement with us). If we ever want to send you marketing, we'll ask for your consent first.
How Long We Keep It
Enquiry data: we keep it for up to two years unless you become a customer, in which case we keep your records for the duration of your agreement plus six years (because HMRC and FCA require it). After that, it's deleted. If you want us to delete your data sooner, just ask. We'll sort it within 30 days.
Who Sees Your Data
Internally, only the people who need to. That's typically Kevin (Managing Director), our sales team and our service team. We use the following third parties to run the business:
- Our lease finance partners (only if you take out a lease agreement)
- Our website hosting provider
- Our email provider
All our third-party providers are UK or EU based and GDPR compliant. We don't send your data outside the UK or EEA.
Cookies

Your Rights
Under UK GDPR, you've got the right to:
- Ask us what data we hold about you (Subject Access Request)
- Ask us to correct anything that's wrong
- Ask us to delete your data
- Object to us processing your data
- Ask us to restrict how we use your data
- Get a copy of your data in a portable format
To exercise any of these, drop us an email at enquiries@bowdendigitec.co.uk. We'll deal with it within 30 days, usually much faster.
Complaints
If you're not happy with how we've handled your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk. But we'd appreciate it if you talked to us first. We'd rather fix the problem than have the ICO do it for us.
Changes
If we change this policy, we'll update the date at the top. We're not going to email you every time we tweak a comma. But if anything material changes, we'll make it obvious.
