Printing costs are one of those business expenses that nobody thinks about until someone looks at the bill and asks "why are we spending that much?" The good news: there are practical ways to cut printing costs by 20-40% without affecting productivity. Here's what actually works.
1. Default to Duplex (Double-Sided) Printing
This is the single biggest quick win. Most offices print single-sided by default because nobody's changed the setting. Switching every machine and every print driver to duplex by default halves your paper usage overnight. Staff can still print single-sided when they need to. They just have to actively choose it.

2. Default to Mono for Internal Documents
Colour printing costs 5 to 10 times more per page than black and white. Internal memos, draft documents, meeting agendas. None of these need colour. Set the default print driver to mono and let staff switch to colour only when they specifically need it.

3. Right-Size Your Machines
If you've got a 65ppm production machine in an office that prints 2,000 pages a month, you're paying for capacity you don't need. Bigger machines cost more to lease, more to run, and more to maintain. A properly sized 25-35ppm machine might cut your monthly costs significantly while still handling your volumes comfortably.
Conversely, if a small machine is running at 90% of its rated capacity, it'll wear out faster and break down more often. We see this a lot. Businesses that bought the cheapest machine and end up spending more on repairs than they saved on the lease.
4. Use PaperCut for Print Management
PaperCut MF gives you visibility and control. You can see who's printing what, how much it costs per department, and set rules to reduce waste. Common rules we set up: mono by default, duplex by default, colour requires approval for certain user groups, and print quotas for non-essential printing.

5. Switch to Epson Inkjet

The ink cartridges last longer than laser toner relative to their cost, and there are far fewer parts to replace.

6. Set Up Remote Monitoring
When your copier runs out of toner on a Friday afternoon and nobody can print until Monday, that's a productivity cost. Remote monitoring means we can see your toner levels and send replacements before you run out. No emergency orders, no downtime.
It also means we can spot potential problems (error codes, unusual usage patterns) before they turn into breakdowns. For businesses with machines across multiple locations, this is the difference between managing a fleet and just hoping for the best.
7. Review Your Contract Terms
If you've been with the same provider for years without reviewing your per-page charges, you might be overpaying. The market has changed.
